Information You Provide to Us

When you place an order, we collect the following information: your full name, shipping address, billing address, phone number, email address, and payment information (credit card number, expiration date, and security code). This information is necessary to process your order, charge your payment method, and ship your products to you.

Information Collected Automatically

When you visit our site, we automatically collect minimal technical information including: your IP address, web browser type and version, operating system, device identifier, local time, and the pages you visited during your session. This information helps us maintain our website, troubleshoot issues, and prevent fraud.

Important: We only track users who have created an order and completed checkout. We do not track casual browsers, window shoppers, or visitors who do not make purchases. If you visit our site and leave without ordering, we have no record of your visit.

These essential cookies perform the following functions: they keep track of items in your shopping cart as you browse our site, they maintain your login session while you browse, they are automatically deleted when you complete checkout or close your browser, and they are never shared with any third parties.

We do not use tracking cookies, analytics cookies, advertising cookies, or marketing cookies of any kind. We do not use Google Analytics, Facebook Pixel, or any similar tracking services.

Information Sharing

Payment Processors

We use Stripe and Square to securely process credit card payments. When you enter your payment information during checkout, it is transmitted directly to these payment processors over an encrypted connection. We do not store your full credit card number on our servers. After your payment is processed, we retain only the last 4 digits of your card number for your reference and to help identify transactions if you contact us about an order.

Shipping Carriers

We share your shipping address with UPS, FedEx, and USPS for two purposes: first, to calculate accurate shipping rates during checkout (your address may be transmitted to these carriers when you enter it, before your order is complete, so we can provide you with real-time shipping cost estimates); and second, to actually deliver your order once it has been placed. These carriers use your address solely for the purpose of calculating rates and delivering packages.

Legal Requirements

We may disclose your information if required to do so by law, court order, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect our legal rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

No Sale of Data: We do not sell, rent, lease, or trade your personal information to third parties for any purpose, including marketing or advertising. Your information is used solely to fulfill your orders and provide customer service.

Data Security

We take the security of your personal information seriously and have implemented the following measures to protect it: all data transmitted between your browser and our website is encrypted using SSL/TLS encryption; your personal information is stored on secure servers with restricted access limited to authorized personnel only; full credit card numbers are never stored on our servers and are removed immediately after payment processing (we retain only the last 4 digits for reference); we conduct regular security reviews and updates to our systems; and we use secure, reputable hosting providers for our website infrastructure.

Data Retention

We retain your personal information for as long as necessary to fulfill our obligations to you, comply with legal and tax requirements, and resolve any disputes. Specifically, we keep order records for 7 years as required by the Internal Revenue Service for tax and accounting purposes. This includes transaction dates, order totals, items purchased, and general location information (city, state, ZIP code) for sales tax documentation.

Right to Know

Upon request, we will provide you with: the categories of personal information we have collected, the specific pieces of personal information we have about you, the sources from which we collected your information, the business purposes for which we collected your information, and the categories of third parties with whom we have shared your information (such as payment processors and shipping carriers).

Right to Delete

You have the right to request that we delete your personal information. Upon receiving a verified deletion request, we will anonymize your order records by removing the following information: your full name (replaced with "Deleted Customer" and an anonymized reference number), your street address, your email address, your phone number, and your IP address.

Information We Must Retain: Please understand that we are legally required to retain certain information for tax and accounting purposes. Even after a deletion request is processed, we will retain the following anonymized information: the date of your order(s), the items you purchased, the order total and payment amounts, the city, state, and ZIP code (for sales tax nexus documentation), and the last 4 digits of your payment card (for dispute resolution). This information will no longer be linked to your name or contact details.

Important Notice: If you request deletion of your personal information, please be aware that we will be permanently unable to: look up your order history, process returns or exchanges for past orders, verify that you purchased from us, provide customer service regarding previous orders, or send you replacement products or warranty service. If you later contact us about a past order, we will have no way to confirm your purchase or assist you. This action cannot be undone. Please consider this carefully before submitting a deletion request.

Right to Correct

You have the right to request that we correct any inaccurate personal information we have about you. If your name, address, email, or phone number is incorrect in our records, please contact us and we will update it promptly.

Right to Opt-Out of Marketing

If you opted in to receive promotional emails during checkout, you have the right to opt out at any time. Please note that even if you opt out of promotional emails, you will still receive transactional emails related to your orders (order confirmations, shipping notifications, and receipts).

Verification: To protect your privacy, we will verify your identity before processing any request. We may ask you to confirm information associated with your account, such as your email address, order number, or the last 4 digits of the payment card used.

Response Time: We will acknowledge receipt of your request within 10 business days and will complete your request within 45 days. If we need additional time, we will notify you of the reason and the expected completion date. Once your request has been processed, we will send you a confirmation that your request has been completed.

Email Communications

Transactional Emails: When you place an order, you will automatically receive the following transactional emails: an order confirmation email when your order is placed, a shipping notification email when your order ships (including tracking information), and a receipt email with your order details. These emails are necessary to fulfill your order and cannot be opted out of.

Promotional Emails: During checkout, you may choose to opt in to receive promotional emails about new products, sales, and special offers by checking the promotional emails checkbox. This checkbox is unchecked by default, so you will only receive promotional emails if you actively choose to receive them. You can unsubscribe from promotional emails at any time.

Children's Privacy

Our products are designed for color guard performers, marching bands, and winter guard organizations. Our website and products are not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are under the age of 18, please have a parent or guardian review this privacy policy and assist with any purchases.

Do Not Track Signals

Some web browsers have a "Do Not Track" feature that sends a signal to websites you visit indicating that you do not want your online activity tracked. Because our site requires session tracking to maintain your shopping cart and process orders, we do not currently respond to "Do Not Track" browser signals. However, as noted above, we only track essential shopping cart functionality for customers who complete orders.
